Do we pay for the whole year if the process only runs for part of it?
No. Subscriptions run monthly through AppSource, so you can subscribe for a single month or for as many as the cycle needs, and stop when it ends. Annual licensing is discounted if the use is continuous — so the trade-off is flexibility against the lower yearly rate, and which one wins depends on how your contributors actually work.
Do we need a licence for people who only view the data?
No. Licensing covers the people who write back — enter, edit, comment or maintain data. Report consumers are covered by their Power BI licence as they always were.
Is this on top of what we already pay Microsoft?
accoTOOL is licensed alongside Power BI, which you already have. Where it replaces a separate application platform built for the same job, it usually removes a cost rather than adding one — worth comparing against what that platform costs you today.
What happens when more people join the process?
